Start with a scope you can price
To write a quote, identify the customer and define the request. Break the work into items with quantities and prices. Explain what is included, what is excluded and the payment and delivery terms you can meet. Finish with a clear step for approving or discussing the proposal.
‘I need a design’ is not enough to price accurately. Ask about quantity, dimensions, content and timing before putting a number on work that is still undefined.
Five questions before pricing
- What specific result does the customer want?
- How many products or service units are required?
- What materials or information will the customer supply?
- What is included and what is priced separately?
- Which timing and payment arrangements have actually been agreed?
Worked example: a design service
These numbers illustrate a calculation; they are not recommended market prices. Assume the customer supplies text and images, so copywriting is outside the scope.

Make exclusions visible: ‘Copywriting and photography are not included.’ Specify revisions and timing only according to your capacity and the agreement.
Short notes that make the agreement clearer
Use direct wording: ‘Work begins after the required materials and approval are received.’ If the price has a validity period, state it clearly. Avoid ‘everything included’ when some work has not been discussed.
Check the currency, discounts and applicable charges. Where tax applies, verify how it must be presented for your business. This example does not prescribe a tax treatment.
A message to send with the quote
Replace the fields with accurate details and remove anything that does not apply. The message tells the customer what to review; it does not need to repeat every line of the PDF.
Hi [name], I have attached the quote for [brief request]. It covers [scope] for a total of [amount and currency]. Please review the items and notes, and let me know if you would like to adjust the scope before approval.
